The Basics
Before.Rent ("we," "us," "our") provides property documentation software for landlords and tenants in the UK. By using our service, you agree to these terms.
If you don't agree, don't use the service.
1. What We Provide
We provide software that helps landlords:
- Document property condition at move-in and move-out
- Share reports with tenants
- Store property information
- Compare photos and evidence
We host the platform. You provide the content (photos, notes, property details).
2. Who Can Use This
You must be:
- At least 18 years old
- A UK resident or managing UK properties
- Able to enter into legally binding contracts
You're responsible for your account. Don't share your login details.
3. Your Account
Registration:
- Provide accurate information
- Keep your email and password secure
- One account per person/business
Your responsibilities:
- You're responsible for all activity on your account
- Tell us immediately if your account is compromised
- Don't let others use your account
4. Acceptable Use
You can:
- Use Before.Rent for legitimate property documentation
- Share reports with your tenants
- Store property information
You cannot:
- Upload illegal, defamatory, or inappropriate content
- Harass, abuse, or threaten others through the platform
- Scrape, copy, or reverse engineer our software
- Use the service to violate any laws
- Share false or misleading information
- Use it for properties you don't own or manage
5. Payment Terms
Subscription:
- Prices are shown in GBP (£)
- Billed monthly unless you cancel
- We charge your card automatically each billing period
- You can cancel anytime
Free Trial:
- 14 days, no credit card required
- Cancel before trial ends = no charge
- After trial, standard pricing applies
Refunds:
- We don't offer refunds for partial months
- If there's a problem with our service, contact us and we'll make it right
- If you cancel, you keep access until the end of your billing period
Price Changes:
- We may change prices with 30 days notice
- You can cancel before the new price takes effect
6. Your Content
What you upload:
- You own the photos, notes, and information you upload
- You give us permission to store and display it so we can provide the service
- We won't use your content for anything else
What we can do:
- Store your content on our servers
- Display it to you and users you share it with (e.g., your tenants)
- Back it up
- Make technical changes needed to display it
What we won't do:
- Sell your data
- Share your property info with third parties (except as legally required)
- Use your photos for marketing without permission
Your responsibility:
- Don't upload content you don't have the right to use
- Don't upload private information about people without consent
- Make sure your content complies with UK data protection laws (GDPR)
7. Our Rights
Intellectual Property:
- We own Before.Rent (the software, design, code, branding)
- You can't copy, modify, or resell our platform
- You get a license to use it while you're a customer
We can:
- Modify or discontinue features (we'll try to give notice)
- Suspend accounts that violate these terms
- Remove content that violates these terms
- Close accounts for non-payment
8. Privacy & Data
We take your privacy seriously.
- Read our Privacy Policy for details on how we handle data
- We comply with UK GDPR
- Your data is stored securely on UK/EU servers
- You can export or delete your data anytime
Tenant data:
- When you share reports with tenants, they get their own access
- Tenants have rights under GDPR (access, deletion, etc.)
- You're responsible for complying with data protection laws as a landlord
9. Disclaimers & Limitations
The service is provided "as is":
We try our best, but:
- We don't guarantee 100% uptime
- We're not responsible if technical issues prevent access
- We don't provide legal advice
- We're not liable for disputes between landlords and tenants
Not legal advice:
- Before.Rent is a documentation tool
- It doesn't replace legal advice
- Check with a solicitor about your specific situation
- We can't guarantee our reports will be accepted in all disputes (though they should be)
Limitation of liability:
- We're not liable for indirect damages (lost profits, lost deposits, etc.)
- Our total liability is limited to the amount you paid us in the last 12 months
- We're not responsible for disputes, legal costs, or deposit scheme decisions
Exceptions:
- Nothing in these terms excludes liability for death/injury caused by our negligence
- Or for fraud or fraudulent misrepresentation
- Or anything else that can't be excluded under UK law
10. Termination
You can cancel anytime:
- From your account settings
- Takes effect at the end of your billing period
- Your data is available for 30 days after cancellation
We can terminate if:
- You violate these terms
- You don't pay
- We stop offering the service (we'll give 30 days notice)
After termination:
- Export your data within 30 days
- After 30 days, we may delete your account and data
- No refunds for early termination
11. Changes to These Terms
We may update these terms.
If we do:
- We'll email you 30 days before major changes
- Continued use means you accept the new terms
- If you don't agree, cancel before they take effect
12. UK Law Applies
These terms are governed by the laws of England and Wales.
Disputes will be handled in UK courts.
13. General Stuff
Entire agreement: These terms + our Privacy Policy = the full agreement between us.
If part of this is unenforceable: The rest still applies.
We're not waiving rights: If we don't enforce something once, we can still enforce it later.
No assignment: You can't transfer your account or these terms to someone else.
